What information we collect
The purpose of the USSPWDC website is to share information, join/renew membership, event registration and contact us for questions. We utilize a number of different embedded web forms (e.g., event registration, membership join/renew, contact-us) created on the platform Jotform, all of which collect personal data from our visitors. These forms collect name, email address, phone number, and additional information specific to the event or question (contact us). Feedback forms containing the data are e-mailed to the site visitor and specified USSPWDC chairpersons. We utilize Constant Contact as an email platform to communicate with members. Email addresses are input from the Membership join/renewal form into Constant Contact by the Membership Chairperson. Paypal Standard Integration is used for customers to pay for membership or event registration and collects personal data such as the payor name, email address and transaction id. Jotform, Constant Contact and Paypal each have their own privacy policies and do not share our information.
We collect some information automatically from visitors to the site through the use of “cookies.” Cookies are set not to record a visitor’s personal details. Cookies may collect any of the following: your domain name and host for Internet access; the Internet address of the site from which you came; the date and time of your access; your computer’s IP address and information about its operating system, browser and host; the date and time you access the site and the pages you visit.
You may set your browser settings to block cookies or be notified when you receive a cookie. However, if you turn cookies off, you may not have access to some of the site’s services and features on the website.
What we do with the personal information collected
When site visitors fill out a contact us, membership join/renewal and/or event registration form on our website, the information is maintained in Jotform. The data is periodically downloaded into excel reports that are distributed to the appropriate USSPWDC Board Members and/or Chair Persons as required. The master membership list is maintained by the Membership Chairperson who inputs current member emails into Constant Contact.
The data collected for water camps and fun events is used for that event and shared only with the appropriate event chairpersons. The data is retained for a minimum of one year then archived or deleted.
The data collected for sanctioned PWDCA Water Trials is downloaded into excel reports and shared with the appropriate event Chairpersons. The information collected is for the generation of the event catalog, running order list and final water trial results. The catalog is shared with those attending the event and the PWDCA. The event results are also transmitted to the PWDCA following the event. The data is retained for a minimum of one year then archived or deleted.
Contact us information is review by the President who coordinates and responds to the inquiry. The data is retained for a minimum of one year then archived or deleted.
While we will do the utmost to protect your personal and other information submitted to this site, we cannot absolutely guarantee the security of personal information or other information in any form. We will not sell, rent, exchange, transfer or give to any other company for any reason whatsoever.
Ability to update your personal information
USSPWDC members have an opportunity to update their personal information once a year during the membership renewal period (Nov-Mar) or contact us through the Contact Link on the website.
